What is Joining/Acceptance Letter?

A letter from the applicant indicating his wiliness to accept the job is offered by an employer. It may include an acknowledgement of having appointment letter also. Even if you have accepted a job over the phone, it’s a good idea to write a job acceptance letter to confirm the details of employment and to formally accept the job offer.

An appointment letter/verbal appointment would typically include the following:

·         A thank you for the candidate’s interest in the job.
·         Why the candidate is qualified for the position.
·         Deadline of the offer.
·         What the candidate should do if s/he have any question(s).
·         Their offer details including salary and other benefits.

Address the letter to the person who offered you the position including your contact information. Make sure that your letter is well written and does not contain typos or grammatical errors. Even though you already have been offered the job, you want to make sure all your correspondence is professional.

Sample Joining/Acceptance Letter

This is a sample acceptance letter to give you an idea on how to write your own letter. The phrases are in capital letters, italic and surrounded by third brackets ‘[]’ should be replaced by your own information.

[APPOINTMENT LETTER REFERENCE NO]. As we discussed, my starting salary will be [SALARY AMOUNT]. I understand and accept the conditions of employment that you explained in your appointment letter.
The position is ideally suited to my educational background and interests. I confidently feel that I can make a significant contribution to your company, and I am grateful for the opportunity you have given me. I humbly request you to accept my joining/acceptance letter.
